Position Overview Statement
- Working closely with Project Management team;
- Reporting to Head of Project Management;
Principal Duties and Responsibilities
- Providing administrative support;
- Coordinate travel arrangements, including visa applications, booking flights, hotels, transfers etc.
- Screening phone calls, enquiries and requests, and handling them when appropriate;
- Meeting and greeting visitors at all levels of seniority;
- Projects invoice management;
- Integrate the financial project information into project portfolio reports;
- Organizing and maintaining diaries and making appointments;
- Dealing with incoming email, faxes and mail;
- Arranging meetings and conference calls (including coordinating all meeting logistics, developing agenda and meeting materials, etc.);
- Manage office supplies stock and place orders.
Requirements
- Bachelor Degree in Economic Studies or related field;
- Exceptional written and oral communication skills in English;
- Experience with working to deadlines and excellent time management;
- Excellent word processing and computer skills (MS Office suite);
- Attention to details;
- Quick decision-making and problem-solving abilities;
- Ability to convey information clearly and effectively;
- Responsible, goal oriented and organized;
- Strong attention to detail and ability to multitask;
- Great interpersonal skills and customer service;
- Discretion and an understanding of confidentiality issues.
