Position Overview Statement

  • Working closely with Project Management team;
  • Reporting to Head of Project Management;

Principal Duties and Responsibilities

  • Providing administrative support;
  • Coordinate travel arrangements, including visa applications, booking flights, hotels, transfers etc.
  • Screening phone calls, enquiries and requests, and handling them when appropriate;
  • Meeting and greeting visitors at all levels of seniority;
  • Projects invoice management;
  • Integrate the financial project information into project portfolio reports;
  • Organizing and maintaining diaries and making appointments;
  • Dealing with incoming email, faxes and mail;
  • Arranging meetings and conference calls (including coordinating all meeting logistics, developing agenda and meeting materials, etc.);
  • Manage office supplies stock and place orders.

Requirements

  • Bachelor Degree in Economic Studies or related field;
  • Exceptional written and oral communication skills in English;
  • Experience with working to deadlines and excellent time management;
  • Excellent word processing and computer skills (MS Office suite);
  • Attention to details;
  • Quick decision-making and problem-solving abilities;
  • Ability to convey information clearly and effectively;
  • Responsible, goal oriented and organized;
  • Strong attention to detail and ability to multitask;
  • Great interpersonal skills and customer service;
  • Discretion and an understanding of confidentiality issues.
